    We are looking for a way to list what each vehicle is making on a certain run. Then be able to input costs for that run. In the end I would like a list for the month. What each car made for the month minus costs. Can anyone recommend a program?

    Thought about this myself; I figured I'd just have to use a spreadsheet and do it that way. Be interested in the answers from others......

    I'm not sure. We use quick books for invoices, but never looked at what else it has to offer.

    I'm not even decent at quickbooks but I know it can be done. Stuff like this is where hiring a book keeper who is an expert comes in handy.

    Quickbooks would be tough if you really wanted to be detailed. You could set up a spreadsheet where you entered mileage and it gave you back numbers for oil changes, lights, wipers, tires, etc. based on mileage. And you could also have it add in a certain amount for generic cleaning costs, insurance, etc. If you are doing for budgeting reasons, you can do this: go to last year and use quickbooks to figure out what every expense was percentage wise to your overall revenue. Then, you have the percentage of what every run the expenses are. This is a very generic (and NOT accurate) way of doing it - but since you have been in business for a while it will get you close - you could break down different runs (airports/hourly/charters) and get a better breakdown using your experience and that will make it a little more accurate. If you use quickbooks, you could set up your invoices to where your "items" are based on what was booked, not what car did it (ie: Airport departure - sedan instead of Airport - '12 LTC). This will help you figure out what percentage of runs are what type of run not on what car did it but what was booked - this is important if you upgrade a lot due to lack of availability.

    I think I will try a spread sheet and see how it goes. It would be nice to see it all in black and white at the end of the month. Thanks guys

    Yep, and with excel at least, then you can make it into pretty graphs.
