I generally collect and process the deposit at the time the reservation is made. The only exceptions are corporate customers and well-established clients. Most of my transactions are via credit card.

The balance is processed a day or two before the trip. When you collect the balance really depends on how your contract reads.

Waiting until the passenger gets to the car to collect a deposit defeats the purpose of requiring a deposit, as there would be no penalty for a last-minute cancellation.

There are any number of providers who can do credit card processing for your company. You must accept credit cards in this day and age, as it is the way most people want to pay.

We require a 20% deposit at the time of reservation. All deposit are non refundable. Balance is due when the limo arrives to pick up, at this point only cash or credit card is accepted. Credit cards are prauthorized before the trip and are authorized for 2 hour plus gratuity more than the trip just to cover for overtime.

Retail clients:

We charge a $50 non-refundable deposit at the time of booking. All reservations must be fully paid one week before the date of service. If you cancel with more than 72 hours notice, you get everything back but the $50. If you cancel less than 72 hours in advance, we keep it all. Overtime is cash or credit card only and credit cards are run on the spot via the dispatcher. We never roll out of our garage for retail without us hold the money.

Corporate clients are billed direct and are set up with either: Due upon receipt, Net 10 or Net 30. Affiliates are billed at Net 45.

We require a 50% non-refundable deposit at the time of reservation. If using a credit card we charge the entire estimated fare at the time of reservation. If they subsequently cancel, a refund will be processed to their card. At the conclusion of the trip we calculate all charges and gratuity less deposit and get a signature from the client.

We require a 50% NONREFUNDABLE deposit at the time of booking and fax the client a contract. They have 24 hrs to review and sign and fax back. We are flexible with this policy with regular clients. The balance is due 7 days prior to the run, unless they prefer to pay the driver cash, in this case, this amount is due before the car rolls.

For Corporate Clients, this does not always apply since flights get cancelled etc.
